What is an Authorization Letter?

An authorization letter, or letter of authorization, is a short written statement in which you name a person and permit them to do one defined thing on your behalf. Government offices, couriers, banks and schools accept it when the account holder or document owner cannot appear in person.

It differs from a power of attorney. A power of attorney grants legal authority to make decisions and sign binding documents, and it must be notarized and often witnessed. An authorization letter covers a single errand and gives no authority beyond it.

The U.S. tax system shows the line clearly: IRS Form 8821 authorizes a designee to receive your tax information, while Form 2848 is a power of attorney that lets a representative act for you before the IRS.

When You Need a Notarized Authorization Letter

Collecting documents is the most common use. The Philippine Department of Foreign Affairs releases apostilled documents to a representative who presents a signed authorization letter from the owner together with both persons’ IDs, and the Bureau of Customs releases balikbayan boxes to a representative on the same basis.

Mail and deliveries are another. The U.S. Postal Service’s Standing Delivery Order (PS Form 3801) is a written authorization that lets a named agent collect your mail after showing photo identification.

Banks, universities and utility companies use the letter for account enquiries, transcript requests and releases of information, and in the UK HMRC lets you authorise a friend, relative or agent to deal with it for you. When the principal is overseas or the matter involves money or identity documents, the recipient usually wants a notarized letter.

How to Write an Authorization Letter

Keep it to one page. Write the date, your full name, address and ID number, and address the letter to the office or company that will act on it. Name the person you authorize with their full name and ID number, and state exactly what they may do: “to claim my apostilled birth certificate”, “to receive the parcel with tracking number…”, “to request a copy of my bank statement”.

Add the period the authorization is valid for and the words “This authorization covers only the matter described above”. Close with your signature. If the recipient wants it notarized, leave the signature and date blank until you are before the notary.

Attach a photocopy of your own ID and of the representative’s ID; most agencies ask for both.

Does an Authorization Letter Need to Be Notarized?

Not by law in most cases. A signed letter with copies of both IDs is enough for routine errands, and the agencies above require only a signature. Notarization is needed when the recipient’s rules say so, when the letter concerns money, property or a minor, or when you are abroad and the recipient cannot verify your signature any other way. For a minor’s documents, the Philippine DFA requires a notarized special power of attorney from the parents instead.

With NotaryPublic24, upload the signed letter, finish the checkout and verify your identity with a biometric and ID check. A qualified Notary Public is appointed to your case and you receive the notarized PDF within 24 hours. Add an Apostille if the letter will be used in another country, and contact support first if the recipient requires a wet-ink signature.

Frequently asked questions

What is a notarization?

Notarization is the official process of having a document legally verified by a notary public. A notary public is an authorized official who verifies the identities of the people signing a document and confirms that the signatures are authentic. This process makes the document legally recognized and trustworthy, helping to prevent fraud and ensuring its validity for important matters like buying a house, signing a contract, or creating a will.

What is an Apostille?

An Apostille is a certificate that makes your document valid in other countries. It's like a stamp of approval that confirms your document is real and can be used in countries that are part of the Apostille Convention. This agreement between countries makes it easier to use important documents like birth certificates and marriage licenses abroad without needing any other certifications. The Apostille verifies the signatures and seals on your document, ensuring it's accepted as genuine.

What is a Notary Public?

A Notary Public is an authorized official who has the right to issue certain certificates. An example is the Apostille stamp. A Notary Public is authorized by the state and applies their official seal and signature to certify the documents.

What is the difference between an authorization letter and a power of attorney?

An authorization letter permits one person to do one specific thing for you, such as collect a document or receive a parcel, and carries no authority beyond that errand. A power of attorney is a legal instrument that lets your agent make decisions and sign binding documents on your behalf. It must be notarized and, in many places, witnessed. Agencies that require a power of attorney will not accept a letter in its place.

Does a letter of authorization need to be notarized?

Usually not by law. Most agencies accept a signed letter with photocopies of both IDs. Notarization becomes necessary when the recipient's own rules require it, when the letter concerns money, property or a child, or when you are abroad and the recipient has no other way to check that the signature is yours.

How do I write a notarized letter of authorization?

Date the letter, give your full name, address and ID number, name the person you authorize with their ID number, and describe the single task they may carry out and the period the authorization is valid for. State that it covers only that matter. Sign in front of a notary, who adds the notarial certificate, and attach copies of both IDs.

Can I notarize an authorization letter online from abroad?

Yes. With NotaryPublic24, you upload the letter, verify your identity online with a biometric and ID check and sign before a Notary Public in a video session. The notarized PDF is delivered within 24 hours and can be apostilled if the recipient's country requires it. Check first whether the recipient accepts an electronically notarized document.

What should an authorization letter include?

Your full name, address and ID number; the representative's full name and ID number; the recipient's name; a precise description of the task; the dates the authorization is valid; a statement that it covers only that task; your signature and the date; and photocopies of both IDs. Add the notarial certificate if the recipient requires notarization.

Can I notarize online?

Yes, you can notarize your documents online. With our online service, simply upload your documents, complete the checkout process, and verify your identity digitally. It only takes a few minutes! You'll receive your notarized documents within 24 hours with a sealed notary stamp.

Do I need to be physically present?

No, you do not have to be physically present to notarize online. However, you need to verify your identity with a government issued ID.
